Beyond the Meeting App – Microsoft Teams Rooms

What your business actually needs from Microsoft Teams Rooms — and why most deployments fall short of what they promise.

Every week, a business owner calls us about their Microsoft Teams Rooms setup. They’ve invested in subscriptions, trained their staff, and fitted out a conference room. Then they show us what they’ve got: a laptop propped on a table, a USB webcam, and a television at one end of the room.

That is not a Teams Room. That is a Teams meeting.

The distinction matters more than most people realize — and closing that gap costs more than just another hardware purchase. It requires a fundamentally different approach to how you specify, deploy, and support a unified communications environment.

THE FIRST CONVERSATION

Platform Lock-In: The Decision You Don’t Know You’re Making

When we begin any unified communications project, our first question is deceptively simple: Microsoft Teams Rooms or Zoom Rooms? This isn’t a technical question. It is a strategic one.

A certified Teams Rooms deployment binds your room infrastructure to that ecosystem. The same is true of Zoom Rooms. Both platforms offer deep integration, advanced features, and purpose-built hardware — but switching later means starting over, unless you invest in a Pro Device License, which provides the flexibility to run either platform on compatible hardware.

Most integrators don’t raise this point. Most clients don’t know to ask. We consider it the single most important conversation to have before a single piece of equipment is specified.

THE ASSESSMENT

Reading the Room — Before the Equipment

No two conference rooms are the same, even when their square footage matches. Before we recommend a camera or a microphone array, we need to understand the room’s geometry: its dimensions and ceiling height, the configuration of seating, the number of occupants it will regularly hold, and the coverage zones that cameras and microphones must reliably reach.

A rectangular boardroom for twelve presents entirely different challenges from a round executive suite for eight. An open-plan collaboration hub behaves differently from a glass-walled huddle room. The room tells us what it needs — if we take the time to listen to it before we start specifying.

EQUIPMENT

The Hardware That Earns Its Cost

Certified Teams Rooms hardware isn’t cheap. We are explicit with clients about this from the first meeting. What we are equally explicit about is what that investment actually delivers.

EQUIPMENT WE SPECIFY

For medium rooms, the Shure IntelliMix Bar Pro is a consistently reliable choice. For larger spaces, Biamp Parle videobars and Biamp Tesira DSP processors are our reference-grade solutions — purpose-built for rooms where the stakes of audio failure are highest.

Noise cancellation and deverberation.  The Shure IntelliMix Bar Pro and Biamp Parle systems employ sophisticated multi-channel beamforming and AI-driven noise suppression. They distinguish conversational speech from keyboard clicks, air conditioning hum, and ambient noise in real time. Biamp’s Tesira platform adds programmable deverberation that reclaims intelligibility in hard-surfaced boardrooms where reflections would otherwise blur every syllable.

Auto-framing camera technology  tracks active speakers dynamically, keeping the right people centred in frame without a dedicated operator or manual PTZ control — essential for organisations that want professional-grade meeting presence without additional staffing overhead.

The compute unit.  Every certified Teams Room runs on a dedicated MTR compute device — a purpose-built PC such as the Lenovo ThinkSmart Core or HP Slice G2, permanently mounted and managed remotely through the Microsoft Teams admin centre. It runs Windows IoT Enterprise and the Teams Rooms application exclusively, wakes automatically before scheduled meetings, and never competes with a user’s personal applications. Clients who have operated both configurations consistently describe the shift to a dedicated compute unit as transformative in terms of reliability and meeting start-time confidence.

In a standard office meeting, these features are conveniences. In a boardroom presentation to an overseas client, they are the difference between being heard and being dismissed. Streamline Systems backs all installations with three-year limited warranties — a reflection of what responsible deployment looks like.

INFRASTRUCTURE

The Network Foundation

A Teams Rooms deployment is only as reliable as its network connection. We specify wired connectivity for every MTR installation — not Wi-Fi, not hybrid, not ‘mostly wired.’ Wireless networks introduce latency, packet loss, and interference that manifest as the dropped calls, frozen video, and audio artifacts that erode trust in the technology.

Before equipment is specified, we assess the client’s network infrastructure. PoE port availability, VLAN configuration for AV traffic, and QoS policies are prerequisites to a successful deployment, not afterthoughts to be addressed once something goes wrong.

DISPLAY STRATEGY

Screens, Sightlines, and the Oval Table Problem

The display question is where room geometry and meeting workflow converge most directly. A single screen can serve many rooms — but it must divide its real estate between the presenter’s content and the live video of remote participants. Where that tradeoff is unacceptable, a second screen resolves it cleanly.

Oval and round conference tables introduce a structural challenge that purely IT-focused vendors routinely miss: at a circular table, any single-screen installation will leave participants sitting with their backs to the display. We address this by distributing screens at multiple positions around the room — and applying the same discipline to camera placement.

Finally, we consider how frequently the room is used and how much ambient light enters it. In bright environments, a high-gain projector can outperform a direct-view display of equivalent cost while covering a substantially larger surface area. The right answer is always specific to the room.

MARKET REALITY

The Caribbean Calculus: Why We Don’t Experiment

Specifying equipment for a market like Trinidad means accounting for realities that appear in no vendor’s product guide and on no manufacturer’s comparison chart.

Freight, import duties, and taxes applied to professional AV equipment arriving in the Caribbean can effectively double its landed cost. This makes every specification decision consequential in a way that simply is not true in markets with domestic distribution. A product that might be value-engineered in Miami represents a serious capital commitment here — one that cannot easily be undone if the choice proves wrong.

More fundamentally: we cannot afford equipment failures. When a video conferencing system goes down in a North American office, a replacement unit might arrive within hours. In Trinidad, next-day delivery is aspirational. Our installations need to work, consistently, for the long term.

“We can’t afford to experiment here. That single sentence guides every recommendation we make.”

This is why we specify equipment we trust, from manufacturers we have vetted, backed by warranties that reflect a genuine commitment to long-term performance. Our three-year warranty cover isn’t a competitive differentiator — it is what responsible deployment looks like in a market where the margin for error is narrow.

A Microsoft Teams Rooms installation done properly is a workplace infrastructure investment on the scale of electrical or data cabling — foundational, long-lasting, and not something you want to revisit in eighteen months. Done poorly, it becomes an expensive source of frustration that erodes confidence in remote collaboration at precisely the moment when that confidence matters most.

The difference between those two outcomes isn’t primarily about which box you buy. It’s about whether the people specifying your system understand your room, your network, your workflow — and the market you operate in.
